Scheduling and Policies

Evaluation and Follow-Up Appointment Fees

At The BreatheWell Group, we want to ensure each client receives the most accurate and effective care possible. If it has been a year or more since your last full assessment, we may need to update your records thoroughly before continuing with your therapy plan.

Depending on your current needs, the following options are available:

1.

Full Assessment/Reassessment – $250 (45-60 min)
Includes updated photos, measurements, reassessment, and a new kit.

2.

Follow up appt - $90 (20-30 min)

3.

Partial Update (If off our schedule for a year or more) – $90 + $50 Reassessment Fee (45-60 min)
For clients needing either new photos or new measurements only.

4.

New Kit Only – Add $30 (You will receive one kit included with each assessment. We can mail a new kit if one is lost.)

Scheduling Information

*Our admin hours are Monday through Friday, 8:00 AM – 2:00 PM Central Time. During these hours, our remote team may be assisting other clients or out running errands, but we’ll respond to your message as soon as possible.

**Important Note About Appointments:
Please request appointments through Simple Practice or communicate with your coach directly. To cancel or reschedule an appointment, please message your coach directly through your Simple Practice portal. The portal itself does not allow clients to modify appointments, so direct communication with your coach is necessary.​​

1.

Appointment Booking & Forms Completion:

For new appointments, we encourage you to click “Schedule Appointment”. To secure your requested appointment, we need all required forms completed as soon as possible. In-person evaluations are currently booked out 3-8 weeks, but clients who complete all of their forms promptly will be placed at the top of our active waiting list for any openings. Let us know if you need assistance. We look forward to working with you!

2.

Commitment to MyoFunctional Coaching

Presentation for Phases of MyoFunctional Coaching. See Pages 20-22 *Oral Motor Coaching may have different scheduling needs that are less intensive.

  • Evaluation 45 min to 60 min

  • Intensive Phase: 8 consistent weekly follow ups: Book out after the evaluation. If you can’t find the appt day/time/location you need, book out further and then ask us to add you to the waiting list by providing us with your ideal availability. We may consider virtual appts for ages 3.5 yo and up if determined best option.

  • Habituation Phase: (Sessions 9-12) - Every 2 weeks for 2-4 sessions

  • Retention Phase: (Sessions 13-15) -Every 3 weeks for 2-3 sessions then every (Sessions 15-18) - Every 4 weeks for 2-3 sessions

  • Graduation: Coach will determine when myofunctional health has been achieved. 

  • Yearly check-ins as recommended by the coach.

MyoFunctional Coaching is more than just a couple of sessions — it’s a neuromuscular process. This means we’re working to train your muscles and muscle groups to function together in harmony, focusing on proper tongue posture, a functional swallow, and overall strength and tone.

In-Person vs. Virtual Follow-Ups:

At The BreatheWell Group, you may choose your preferred provider for in-person evaluations. However, follow-up appointments are currently more readily available via virtual, particularly for clients ages 4 through adult. In-person follow-ups are limited and primarily reserved for infants and toddlers. Once you start to do follow ups, do your best to stay consistent and reschedule with the same coach. Urgent Scheduling & Virtual Options:

If you need an evaluation or follow-up appointment sooner than in person appts are available, we recommend checking our virtual options for ages 4 and up. Virtual sessions for children younger than 4 years old are only available if confirmed by our staff. If you need assistance with scheduling, please reach out to our admin team, and we’ll do our best to accommodate your needs. We’re happy to help!

5.

Why is this so important before the oral tie release?

Building this foundation helps ensure:

  • Better outcomes and smoother recovery. Less risk with airway obstruction..

  • Less pain and minimal bleeding during and after the procedure

  • A reduced risk of post-release re-attachment or restriction

If oral tie releases are recommended, we will send clients to one of our preferred providers for their evaluation and/or collaborate with your provider of choice. The release itself doesn’t automatically correct function — the myofunctional/oral motor coaching guides your muscles to work properly both before and after the procedure. Once we consistently see all functions being demonstrated correctly, we can confidently move forward with the release.

After the procedure, therapy will continue to reinforce these new patterns, prevent restriction, and support long-term, healthy tongue function.

Policy Information

1.

Insurance:

At The BreatheWell Group, we prioritize a client-centered approach and operate as an out-of-network provider, meaning we do not participate in insurance networks or bill insurance companies directly. Unfortunately, most mainstream insurance providers do not cover standalone Orofacial Myofunctional Therapy (OMT) and/or Oral Motor (OM) services. Lactation Services are often covered by insurance (for lactating moms with infants).

2.

Payment:

Payment is required at the time of your appointment. Please note that we no longer provide SuperBills or billing codes due to our limited staffing resources and are unable to interact with insurance companies on behalf of our clients. HSA cards are accepted through our payment portal.

3.

Appointment Confirmation:

We greatly appreciate your understanding and support as we remain dedicated to providing you with exceptional care.

As a small, female-owned and operated business with a busy schedule, we kindly ask you to confirm your appointments with us and to keep in mind our policies. By doing so, we can limit late cancellation charges and missed appointments, allowing us to accommodate urgent cases that could benefit from those appointment spots.

 

To ensure your appointment is confirmed, please enable text reminders. 3-5 days prior to your appointment, you will receive a text reminder containing a link. Simply click on the "Confirm Appt" link and then scroll down and click, "Yes, I'll be there". Once confirmed, you will no longer receive reminders for this appointment. Please be aware that email reminders do not currently support confirmation via a link.

4.

Cancellation Policy:

Our cancellation policy requires 48 business hours' notice to cancel or reschedule appointments without incurring fees. For example, if you have a Monday appointment at 5 pm, we need to know by the previous Thursday at 5 pm. Call, text or email us to cancel or reschedule appointments. You can review our full cancellation policy in your portal.

5.

Opting Out of Text Reminders:

If you prefer not to receive text reminders, we completely understand. However, please remember our cancellation policy and provide sufficient notice if you need to reschedule.
